Gleam & Glory is a custom awards, trophy, and engraving manufacturer based in Hagerstown, Maryland, formed by bringing together two established local brands, Accent Imaging and Gladiator Trophies. The business produces recognition awards, plaques, engraved gifts, and event trophies for schools, associations, corporate clients, and community organizations. With a small core team and clear ambitions to move upmarket, away from low-value walk-in traffic toward larger recognition programs, the company handles a high volume of order enquiries and reorders that arrive almost entirely by email.

The Solution
TekConnected designed and built a custom, client-owned sales operations platform, not an off-the-shelf CRM, purpose-fit to how a made-to-order awards business actually runs. The system unifies customers, orders, production, and finances in one place, then layers an AI Email and Order Agent on top to handle the communication and data-entry work that previously consumed the owner's day.
Approach and Strategy
- Custom CRM (Next.js + Supabase)
- Customer records with lifetime stats and tax-exempt handling, an Orders board that tracks each job through production stages, order detail with line items, files, and work orders, plus production, daily-priority, and dashboard views.
- AI Email and Order Agent (Anthropic Claude)
- Inbound email is classified by intent and a reply is drafted in the company's own voice, trained on 40 real customer email threads. Every draft carries a confidence score and lands in a review queue.
- Never-Auto-Send Safety Model
- A master switch and force-hold logic guarantee that no AI-generated email reaches a customer without human approval, protecting the brand during rollout.
- Customer Order Form
- A branded, tokenized web form with artwork and sketch upload that customers complete themselves. Submissions auto-populate an order in the pipeline, eliminating manual re-keying.
- Automated Pricing
- Sell prices are generated from vendor cost using configurable markup, distinguishing in-house production from vendor-shipped, so staff never hand-price, with alerts on any custom override.
- Recurring-Order Reminders
- The system flags customers who are due to reorder and prepares a ready-to-review draft pre-filled with their previous order's details.
- Integrated Finance and Email
- Direct QuickBooks Online integration for customers, invoicing, and payments, plus Microsoft 365 email with branded per-mailbox signatures.
The build is a one-time cost with the code, data, and hosting owned outright by Gleam & Glory, with no per-seat license fees and running costs that stay flat as the business grows.
