What is n8n, and when is it worth using over Zapier?
n8n is a workflow automation platform that connects apps and runs multi-step processes, similar in purpose to Zapier and Make.com, with strong support for custom code and AI steps. It is worth choosing over Zapier when workflows involve AI agents, large data volumes, custom logic, or data you want to keep on your own infrastructure, because n8n can be self-hosted.
In detail
In n8n you build workflows from nodes: triggers, app connections, logic, code and AI model calls. Workflows can run on a schedule, react to webhooks or watch for changes in tools such as Google Drive, Slack or a database.
When n8n is the better choice
- Retrieval-based AI assistants that answer from your own documents
- Pipelines that process thousands of records, such as lead enrichment or data clean-up
- Workflows that need custom JavaScript or Python between steps
- Businesses that need data to stay in their own cloud account
When Zapier is still fine
If the automation is a handful of linear steps between mainstream apps and a non-technical person will maintain it, Zapier is quicker to set up and easier to hand over. n8n rewards technical ownership.
Example
Steel Craft Builders uses n8n as the orchestration layer for an AI knowledge system. n8n watches the company's Google Drive, processes new and changed documents into a Supabase vector database, and serves answers through a WordPress chatbot for customers and a Slack agent for staff. More than 120 documents are searchable, and an updated document is live in the knowledge base in under two minutes.
